TTG staff will do their absolute best to assist clients with any changes. The first change will be free of charge. For any future changes, we reserve the right to apply and an administrative fee of $5 per person, per tour. If you are changing a tour time/date to purchase another tour from us the fee will be waived.
If you made a mistake with your booking and notify us within 48 hours, we will change your booking, pending availability, free of charge.
These Article 5 Terms & Conditions do not apply to the purchase of Trip Planning. Terms & Conditions regarding Trip Planning Changes made by buyers can be found in Article 9 below.
6. CANCELLATIONS BY CLIENTS ON TOURS
Group Tours – The Tour Guy offers a full refund on cancellations made more than 72 hours prior to your tour taking place with the exception of Trip Planning (article 9). Cancellations made within 72 hours of your tour taking place cannot be refunded but we will do our best to accommodate you on another tour or date, pending availability. We will do our best to re-schedule you on another tour, but reserve the right to charge up to 40% of the original cost. Once again, this is subject to availability. The cost we ask varies per tour, but in general we only charge you for any additional costs that we incur such as tickets. We have no intention of profiting from disruptions to your vacation and will work with providers and suppliers to get this cost reduced to a minimum.
Private Tours – The Tour Guy offers a full refund on cancellations made more than 7 days prior to your tour taking place with the exception of Trip Planning (article 9). Cancellations made within 7 days of your tour taking place cannot be refunded but we will do our best to accommodate you on another tour or date, pending availability. We will do our best to re-schedule you on another tour, but reserve the right to charge up to 60% of the original cost. Once again this is subject to availability. The cost we ask varies per tour, but in general, we only charge you for any additional costs that we incur such as tickets. We have no intention of profiting from disruptions to your vacation and will work with providers and suppliers to get this cost reduced to a minimum.
Due to extremely strict slot times for entry into sites, we recommend you to show up 15 minutes before the scheduled meeting time on your voucher. The group leaves exactly at the scheduled meeting time. If you show up late or cannot find the meeting point, for any reason, you will not be granted a refund. For most tours, it is not logistically possible to join the group after it has started. As always, we will do our best to reschedule you onto a later tour of equal or lesser value.
It is highly recommended that you carry a mobile device with you to the meeting point. Use the phone number and email address of that device when booking. If you are late or lost we will do our best to contact you to help. If we successfully contact you and you still cannot get to the meeting point in time to enter with our group, you will not be granted a refund.
The first paragraph in the above Article 6 Terms & Conditions do not apply to the purchase of Trip Planning or Guided Vacations. Terms & Conditions regarding Trip Planning Cancellations can be found in Article 6.3 and 8. Terms & Conditions regarding Guided Vacation Cancellations can be found in Article 6.2.
6.1 CANCELLATION DUE TO PLANES, TRAINS OR AUTOMOBILE
As stated above, we do not refund clients who do not show up on time for tours. This includes, but is not limited to, tardiness due to flight or train cancellations, delays or issues caused by traffic or congestion. In general, we do not refund anyone canceling within 72 hours of the tour start time.
To protect you from this portion of our cancelation policy, we recommend the purchase of travel insurance. We recommend a particular policy, but you are welcome to shop around. Be sure to ask a representative if the insurance policy covers losses due to delays and cancellations. We also recommend getting that in writing. The Tour Guy does not take responsibility if a policy, even the one we recommend, does not cover any losses due to delays. Each traveler should be diligent when selecting a policy to ensure it covers trip disruptions.
In the case of a delay, we recommend contacting us as soon as you know you will be late. The earlier we know, the more we can do to reschedule you or help.
As mentioned above, for small group tours, we will do our best to re-schedule you on another tour for as much as 40% of the original cost, but once again this is subject to availability. For private tours, customers will be asked to pay up to 60% of the original tour cost.
7. TRIP PLANNING INITIAL FEE
At the initiation of planning a trip TTG reserves the right to request a refundable Trip Planning deposit of 200 euro. This fee is to assess the seriousness of a clients intentions to travel. TTG will offer a full refund of this deposit at any time and for any reason prior to the travel planning confirmation which is received upon the client’s payment of a second deposit. The second deposit is a non-refundable 20% deposit of the total price of the trip. Upon payment of the second deposit, all fees assessed are subject to our cancellation policy detailed in Article 8 below. TTG reserves the right to not confirm or make any necessary reservations prior to the payment of the second deposit.
8. CANCELLATION POLICY FOR TRIP PLANNING
TTG reserves the right to charge a 50% cancelation fee for any trip cancelled from 30 days prior to the arrival date up to 72 hours prior to the arrival date. TTG reserves the right to withhold the full cost of the vacation for any trip cancelled within 72 hours before the time of arrival in Italy.
9. TRIP PLANNING AMENDMENTS BY BUYERS
Trip planning is a service administered prior to arrival of your desired destination therefore the service is completed upon payment. Once any form of payment is made, TTG will not offer a refund to the Trip Planning fee in your invoice. If you choose to amend or change your reservations TTG as a service will do its best to make it happen without additional charges, but we reserve the right to assess amendments as cancellations if coinciding cancellation policies held by hotels or service providers conflict with those of TTG. All other fees are subject to a 95% refund less admissions with the exception of 3rd party affiliates with conflicting terms and conditions as stated above.
10. TIME & DATE CHANGES BY THE TOUR GUY
TTG reserves the right to change the start time, date, meeting point of any tour or service you book through TTG or any affiliate companies. Changes like these happen in response to changes in the tourism landscape.
TTG will contact customers via the phone number & email provided when the customer books. We understand that phones do not often have service when traveling, but TTG does not take responsibility for customers who do not have access to email to track time changes when traveling.
Certain tours are more susceptible to time change. These tour are usually, but not limited to, the Colosseum Underground Tour with Roman Forum & Palatine Hill, VIP Colosseum at Night Tour with Underground & Arena Floor, Restricted Areas Belvedere Top Levels Colosseum Tour, and Arena Floor Colosseum Tour with Roman Forum. This is because they are very exclusive products which make arranging and organizing them more difficult, as tour operators are restricted by the times and tickets made available by the Colosseum on a monthly basis.
In the case you, the user, are dissatisfied with the change offered and have met the conditions in the following paragraph, TTG will offer a full refund.
10.1 Refund Conditions for Time Changes Made by TTG
In the circumstance that TTG reaches out to the user more than 6 days (145 or more hours) before the scheduled service (tour) via email and/or phone regarding a time change, the customer is compelled to adhere to TTG’s standard 72-hour “group tour” cancellation policy.
If TTG reaches out to the user 6 days (exactly 144 hours) or less before the scheduled service (tour) via email and/or phone regarding a time change, the customer will have 72 hours, after correspondence has been sent from TTG, to cancel the booking and receive a full refund.
e.g. If TTG contacts Giovanni by email about a change to his tour’s start time exactly 5 days (120 hours) before his tour is scheduled to begin, Giovanni will have 72 hours from when TTG sent him the email to notify the company if he wishes to cancel his service for a full refund. That means he has up to 2 days (exactly 48 hours) before the tour’s scheduled start time to cancel, and collect a full refund. If Giovanni replies to TTG the day before his tour (less than 48 hours before the scheduled start time), he is no longer eligible for the refund. This is because Giovanni did not reply to the company within 72 hours from the time TTG correspondence was sent.
For more examples, see the table below.
|When TTG Contacts the User||Cancellation Time Frame||Latest the User can Cancel for Full Refund|
|145h (more than 6 days) before tour||72+ hours||72h (3 days) before tour start time|
|144h (6 days) before tour||72 hours||72h (3 days) before tour start time|
|120h (5days) before tour||72 hours||48h (2days) before tour start time|
|96h (4 days) before tour||72 hours||24h (1 day) before tour start time|
|72h (3 days) before tour||Anytime||Anytime|
|71h (less than 3 days) before tour||Anytime||Anytime|
10.2 Refund Conditions for Date Changes Made by TTG
On a less frequent basis, tours can be subject to a date change.
In the case of a date change, TTG will reach out to the user via email and/or phone to offer alternative dates for the same tour (pending availability). If an alternative date is not available, TTG will offer the user another type of tour or service (tour or transfer(s)) to replace their original tour. If the value of the new tour or service differs to that of the original tour, the difference will be refunded/charged once the user accepts the new tour or service. Upon accepting the new tour or service, the user is immediately subject to the 72-hour “group tour”/ 7-day “private tour” cancellation policy.
Should none of the options provided by TTG fit the user’s itinerary, TTG will issue a full refund to the user, without restrictions. If the user does not receive TTG’s correspondence or does not respond to TTG’s correspondence prior to their original tour date, TTG will simply refund the user the full amount of their original tour.
10.3 Date & Time Zone
All date and time calculations are to be made in the time-zone of the city in question. e.g. If the tour is meant to take place in Rome, Central European Time (CET).
Prices for tours and experiences are denominated in European Euro currency, but final payment is taken in USD. When you purchase from The Roman Guy on our website or through another party, your sale is taking place in the United States in the state of Florida. For this reason, we take payment in USD.
You may visualize our pricing in Euro, USD, CAD, AUS and GBP, but your card will be charged in USD. If you are concerned about your bank charging you fees for making a purchase in a foriegn currency please contact them directly.
This does not make The Roman Guy simply a booking agency. All tours and experiences are managed and operated by our Tour Operator and offices throughout Italy and Europe.
11.2 TTG CITY TOURS (PRIVATE AND SMALL GROUP TOURS)
TTG accepts the following methods of payment: Visa, MasterCard, American Express, Discover & Paypal. TTG will NOT charge an additional fee for the booking of private and semi-private tours booked directly through the website without the use of Trip Planning. As mentioned previously TTG offers a full refund (less tickets) up to 72 hour prior to services. TTG reserves the right to deny any refund request submitted less than 72 hours prior to services. As stated prior, all refunds must be made in writing and submitted via e-mail.
11.3 TRIP PLANNING
Once you have finalized your plans for your vacation, our trip planning payment plan is the following:
– Non refundable 20% deposit to confirm the trip
– Full payment 60 days prior if not on recurring billing with credit card
– Full payment 30 days prior if on recurring billing with credit card

13. TRAVEL INSURANCE
TTG advises all clients to purchase travel insurance in every circumstance possible. TTG does assure users that it will not recommend any travel insurance provider that has, as far as TTG is aware, caused problems for previous TTG clients.
If any employee of TTG advises any user or client against the purchase of Travel Insurance they will be subject to termination immediately without compensation.
14. SPECIAL ASSISTANCE
Travelers needing special assistance must report disability or allergy to TTG at the time of booking. TTG will make every effort to accommodate all travelers but not all historical sites are equipped for those who have walking difficulties. Travelers should know that handicap access is not required in Italy such as in the United States (Americans with Disabilities Act). Some sights, such as The Roman Forum, will be difficult to access for those in wheelchairs.
15. BAGGAGE DISCLAIMER
TTG cannot be responsible for lost, stolen or damaged personal items during tours. TTG partners with the best transport providers, attentive guides, and service providers, but it is the responsibility of each participant to keep a watchful eye on their personal effects. TTG always recommends that travelers have adequate insurance to cover these issues.
16. HOLIDAY OR MUSEUM CLOSURES
TTG has done all adequate research and planning to be sure its clients are able to do all of the tours scheduled on TTG website, but we cannot be responsible for strikes within Italy. If there is a museum or archeological site closure due to strike, TTG cannot take responsibility as there is no way to know in advance. We will try our best to reschedule any affected tours, but successful rescheduling to meet client needs cannot be guaranteed. Most museums in Italy reserve the right to close at an instance notice for any reason they deem necessary. TTG cannot be responsible for choices made by archeological site, museums or church management.
17. YOUTH DISCLAIMER

Although TTG will do as much as possible to accommodate those with disabilities, TTG cannot be responsible for personal assistance and, in order to ensure you get the most out of your experience, it is suggested that you book a private tour to give you flexibility with times and to ensure the best tour route is planned in advance to meet your needs.
